Following a formal Request for Proposal process, the City Council on January 6, 2020 approved a contract with Madden Media to provide Tourism Marketing Services for the Parks/Recreation/Tourism Department. It was recently discovered that the fee listed on the contract and within the fiscal impact statement on the consent agenda item was incorrect. Specifically, the not-to-exceed amount listed in the contract only provided for payment of the retainer fee of $90,000 and did not include the operations fees of up to $210,000, for the total of $300,000, which matches the costs associated with the list of deliverables referenced in the original contract. Additionally, while the background information included statements regarding three renewal periods for the contract, this information was not included in the contract document itself.
Council approval of this consent agenda item will replace the current contract with a corrected and revised contract with an effective date of July 1, 2020 through June 30, 2021, and will allow the option to extend the contract an additional three years, for a total of four years, providing funds are available.
