Council action is requested to issue a purchase order to Shawnee Mission Ford for $51,026.00, for a 2024 Transit T-250 van, for the Water Division of the Municipal Services Department.

This vehicle is replacing asset: 4313, a 2016 Ford T250 Transit Cargo van. This van is essential for the day-to-day operations of the Field Service division of the Water Department. The current van has 73,xxx miles and transmission issues. The parts have a national backorder and no timeframe for arrival. This van is due for replacement and was approved in the 2024 budget for the amount of $60,000.

Shawnee Mission Ford is the dealer who will be providing the van. Shawnee Mission Ford, who provided a quote based on a Mid-America Council of Public Procurement (MACPP) cooperative contract.

Per section 8.06.004, Paragraph 4 of the City Code states competitive bidding is not required when purchases are made through a cooperative contract established by a government purchasing entity or cooperative. The cooperative bids used will have been established pursuant to RSMo. 70.220 or generally accepted governmental purchasing practices through the competitive bidding process.

Approval of this item authorizes the Finance Director to issue change orders up to a total of ten (10) percent of the original authorized amounts, so long as appropriations are available.

The fiscal impact to the City is $51,026.00. Funding for the van is in the 2023-2024 proposed budget, page 251, account number (4840-5404) Mobile Equipment.in the Municipal Services Water Fund 040.
