Council action is requested to increase expenditures $198,799 with Design Mechanical for HVAC maintenance and repairs for the Power & Light Department. The total amount of expenditures will increase to $322,029.

Council approval to increase expenditures to Design Mechanical.

The Power & Light Department is needs to replace malfunctioning HVAC units, heat pump systems, exhaust fans and humidifiers at the Service Center. IPL has service agreements with Design Mechanical for all HVAC routine and emergency maintenance. The city utilizes the University of Kansas Hospital cooperative contract #CON-000154 which gives us an hourly rate discount. Design Mechanical has an excellent response time and their technicians understand the city’s systems.

In August, 2023, Council approved $370,000 of expenditures with Design Mechanical. This approval is for additional unexpected repairs. Since the beginning of the fiscal year, Power & Light has spent $123,230 with Design Mechanical for repairs and maintenance. The Service Center is in need of $198,799 worth of HVAC replacements. This will raise the total expenditures for the fiscal year to $322,029 for Power & Light alone.

Approval of this item shall authorize change orders up to a total of ten (10) percent of the authorized amount, provided appropriations are available.

The fiscal impact to date for IPL is $123,230.  The revised amount will be $198,799 for a total expenditure $322,029. Funding for Service Center HVAC Replacements is included in the fiscal year 2023-2024 adopted budget, Page 253, account 0207020-5406-202406-C, Service Center Upgrades, IPL fund 020.
